When an employee leaves, changing one password rarely closes every door. Business access may include email, shared files, phone apps, accounting software, website administration, and services purchased directly by a department. The process starts with an authorized instruction. Human resources or management should tell IT who is leaving, when access must change, and who will receive responsibility for ongoing work. Timing matters, especially when the departure is sensitive or the employee is still completing an agreed transition.
Maintain an account inventory while people are employed. Record the services associated with each role and identify applications that use a separate login. Disabling the main directory account may not remove access to every external system. Shared passwords and third-party invitations need their own review.
Have IT revoke relevant sessions and credentials as supported by each platform. Review remote access, mobile devices, delegated permissions, and application tokens where applicable. Avoid assuming that a password reset immediately ends every existing session on every service.
Preserve business records according to company policy and any applicable retention obligations. Decide how the team will access necessary documents and customer communications before deleting accounts or removing licenses. Collect company devices and confirm their condition. Record who received each item and whether personal devices held business information. Use the organization's approved management process for removing company data; do not improvise a full wipe of someone's personal device.
Plan the customer-facing transition as well. Reassign phone routing, shared inbox responsibilities, recurring meetings, and ownership of website or vendor accounts. A secure departure can still become a service problem if inquiries continue going to someone who no longer works for the company.
Close the process with a checklist signed off by the responsible departments. Record unresolved items and assign follow-up rather than marking the departure complete too early.
