Moving to a hosted phone system should begin with a map of how your business communicates. The number on your website may be only one part of the picture. Direct numbers, fax services, after-hours routing, and specialty devices can all depend on the existing service.
Create a complete number inventory. Match each number to its purpose and identify the current carrier, account information, and authorized account contact. Confirm which numbers will move and which services need a different plan. An unused-looking line may support an alarm or another device that requires specialized review.
Document call flows before configuring the replacement. Decide who answers the main number, what happens when the team is busy, and where calls go outside business hours. Include direct-dial numbers and voicemail destinations. This is a good opportunity to fix confusing routing instead of copying it into the new system.
A 3CX deployment also needs an appropriate hosting arrangement, compatible endpoints, and suitable connectivity. Confirm which responsibilities belong to the hosting provider, carrier, and support partner. Review the proposed license and supported features rather than assuming every configuration includes the same capabilities.
Set up and test what you can before the number transfer. Staff should practice answering, transferring, and retrieving voicemail. Test the approved mobile or desktop apps on the networks where people will use them. Review emergency-calling arrangements with the provider, including the locations associated with the service.
Treat the port date as a coordinated change. Number transfers depend on carrier acceptance and scheduling, so avoid promising an exact completion window before confirmation. Keep the existing service active until the transfer and related dependencies have been verified. Arrange a temporary contact plan for unexpected problems.
After the move, test inbound and outbound calls, caller identification, menus, voicemail, and the less frequently used numbers. Have employees report issues through one contact so the project team can identify patterns. A successful migration includes the customer experience and staff adoption, not simply active phones.
